Position Summary 

Reporting to the Vice President and Head of Grantmaking, the Grants Management Coordinator is a critical member of the team responsible for accuracy, efficiency, and integrity of the SFE grantmaking process. This role provides core administrative and process support in close coordination with the grantmaking team, operations team, and the family office. The ideal candidate is exceptionally organized, detail-oriented, adaptable, and proactive- able to manage complex processes and tasks with minimal oversight and a high degree of reliability. Success in this role requires strong self-regulation, excellent follow-through, and a commitment to upholding rigorous internal systems and timelines. 

The primary responsibility of the Grants Coordinator is to provide comprehensive support for all aspects of grantee engagement, grants data management, and grant execution within the organization.

Grant Administration & Execution:

  • Coordinate the preparation and execution of monthly grant materials, including grant letters, wire requests, and associated documents.
  • Maintain accurate, real-time data across GivingData, Airtable, and Google Sheets; ensure all records are updated promptly.
  • Manage the full lifecycle of grant data entry, including periodic audits and integrity reviews within the GMS (GivingData).
  • Prepare internal grant-related reports and dashboards for the Vice President and Head of Grantmaking; respond to ad hoc data and documentation needs.
  • Track and manage grant timelines, payments, and reporting requirements, flagging upcoming deadlines and following up with relevant team members to ensure timely completion.
  • Ensure the accurate and timely submission of grant payments, working closely with the Operations and Family Office teams.
  • Create and manage electronic grant files and grantmaking materials for team meetings, audits, and board dockets.

Grantee Engagement Support:

  • Serve as a key point of contact for grantees on administrative and operational matters, including executing grant documents and coordinating payment details.
  • Schedule and coordinate grantee-facing meetings, including kickoff calls, reporting check-ins, and engagement events, to ensure effective communication and collaboration.
  • Support the Knowledge & Impact team on grantee learning documentation.
  • Draft and edit correspondence and grantee-facing materials; manage the general grants email inbox to ensure timely and appropriate follow-up.
  • Coordinate opportunities for grantees and partners to connect with SFE, including virtual office hours, webinars, and community sessions.
  • Assist in drafting, editing, and proofreading grant-related content and grantee communications.

Grants Team Support:

  • Maintain and monitor SFE’s internal grants workflow to ensure accuracy, timeliness, and alignment with organizational processes.
  • Assist in preparing materials and logistics for internal meetings, including board and grants committee dockets.
  • Provide scheduling and administrative support to the grants team members, helping to coordinate internal meetings, external engagements, and key deadlines across the grantmaking portfolio.
  • Track team-wide deadlines for grant reports, payments, and milestones; maintain status checklists and ensure all deliverables are met.
  • Document and synthesize meeting notes, producing clear summaries and follow-up action items to ensure effective communication and accountability.
    Support the planning and facilitation of quarterly grantmaking reflection sessions and year-end wrap-ups.

Additional Responsibilities:

  • Assist with other projects and tasks as directed by the Leadership Team.
  • Provide back-up staffing assistance for other administrative roles, including reception coverage.

Qualifications

  • Minimum of 3-5 years of experience working in an administrative capacity.
  • Proven track record of working independently, managing multiple priorities, and delivering high-quality work under tight deadlines.
  • Demonstrated excellence in time management, task prioritization, and follow-through with minimal supervision.
  • Exceptional attention to detail and accuracy in data entry, document preparation, and calendar/task management.
  • Excellent written and verbal communication skills, including proofreading and editing
  • Proficiency in G-Suite and experience with grants management platforms. Familiarity with Giving Data, Airtable, and Asana is a plus.
  • Strong collaboration and interpersonal skills, with a high degree of reliability and accountability in team settings.

Position Summary 

Reporting to the Vice President and Head of Grantmaking, the Grantmaking Manager will work closely with their colleagues on the Grantmaking Team, including two other Managers, to execute the vision for Siegel’s learning, workforce, and infrastructure portfolio through sourcing, recommending new grants, engaging with current grantees to help them build capacity and strengthen our network, and engaging with the field at large. 

The Grantmaking Manager will identify potential philanthropic investments and cultivate and sustain relationships with current and potential grantees, foundations, and other nonprofit organizations. The Grantmaking Manager will determine whether an effort or organization is of interest to the foundation and help shape connections and ideas within and beyond Siegel’s portfolio.

The Grantmaking Manager will play a critical role in building Siegel’s reputation and partnerships. This role is an excellent opportunity to build strong relationships and gain exposure to various nonprofit organizations.

Responsibilities

Sourcing, Learning, & Grantmaking 

  • Source and conduct due diligence to vet promising ideas, programs, and organizations by developing a deep understanding of the work and the context in which it operates
  • Work in partnership with colleagues to analyze and understand strategy alignment of potential new grant opportunities, with a specific focus on inquiry-focused grants in partnership with our research team
  • Synthesize learnings from the field and collaborate with fellow team members to uncover interesting opportunities at the intersection of our interest areas and topics for  further exploration 
  • Prepare grant pitches and grant recommendations for review by the Executive Director and the Board of Directors 
  • Be responsible for the grant lifecycle from approval through to grant execution and implementation

Grantmaking Management

  • Serve grantees in a multifaceted capacity as supporter, advocate, and observer
  • Build and maintain strong relationships, particularly focused on creating strong network ties between our grantees and partners in our portfolio(s) 
  • Apply the SFE  Monitoring, Evaluation and Assessment system to grantee engagement
  • Help facilitate internal learning from grantee relationships through observation of and reflection on our grants
  • Manage grants data across systems and ensure its accuracy

Grantmaking External Engagement

  • Increase and promote awareness of Siegel by cultivating a network of peers that understand our work
  • Contribute to white papers, Medium posts, and/or other publications that elevate Siegel’s work or the work of our grantees
  • Represent Siegel at conferences, in professional associations, and other public venues (occasional travel will be necessary)

Qualifications

  • Minimum of 5+ years of experience working in nonprofit, philanthropy, or a relevant field aligned to our interest areas (In particular areas outside of Education)
  • Excellent written and verbal communication skills
  • Intellectual curiosity and deep interest in topics related to the foundation’s mission
  • Exceptional at the art and science of working collaboratively across teams
  • Strong organizational, project management, problem-solving, critical thinking, and analytical skills

Since 2021, Siegel has been building a research team that aims to develop knowledge in our issue areas and to support our grantmaking efforts. Research will be conducted by Siegel staff and research fellows as well as by grantee partners. Position Summary 

Reporting to the Senior Vice President and Head of Research, the In-House Research Fellow will conduct original research in a relevant field and work to disseminate those findings via external thought leadership activities, such as through professional meetings, public presentations, and via media outlets, as well as provide input on internal, cross-team strategy. The fellowship will be either a one- or two-year appointment.

We anticipate that the fellows will work on projects of interest and relevance to Siegel’s program areas, broadly defined, which include education, workforce, and infrastructure, as well as the trends shaping the impact of technology on society that cut across these areas. We are currently especially interested in fellows with a background at the intersection of social sciences and technology – our specific research interests include intelligence, innovation, information, design, decisions, and development – but we welcome additional suggestions for research agendas. We welcome applicants from traditional disciplines as well as hybrid or interdisciplinary programs. We anticipate that the research fellow will be able to apply their research and expertise in multiple fields of interest to Siegel.

While academia is one audience for this work, we anticipate that the fellow will be an effective communicator with other more general audiences, including policymakers, nonprofit and private sector leaders, philanthropy, and the media. A successful candidate will also have the capacity to work both with the research team and also in collaboration with Siergel’s grants team by assisting with research and programmatic landscaping to influence strategy.

We anticipate that the fellowship will be either a one- or two-year appointment and most appropriate for early career researchers (such as those with a masters degree or those pursuing postdoctoral opportunities). 

As a Siegel In-House Research Fellow, you will play a critical role in building Siegel’s reputation and thought leadership. This role is an excellent opportunity to be part of a growing team and to gain exposure to a variety of research and nonprofit organizations.

Responsibilities

Knowledge Creation

  • Undertake original research in one or more areas of interest to Siegel
  • Conduct literature reviews on relevant topics, and synthesize findings
  • Work in partnership with colleagues to help develop research agendas related to Siegel’s inquiry questions, as aligned with Siegel’s inquiry-driven approach to grantmaking
  • Provide thoughtful feedback based on research findings and field learning to contribute to shaping organizational strategy

Research Dissemination

  • Prepare research reports, articles, presentations, and other publications that elevate Siegel’s research or the findings from our grantees
  • Plan and execute convenings with external partners
  • Prepare research summaries for a variety of audiences
  • Synthesize learnings from the research and collaborate with colleagues to uncover interesting opportunities at the intersection of our interest areas and topics for further exploration 
  • Facilitate internal learning from research grantee relationships
  • Other duties as assigned

Research Grant Support

  • Working with the Grantmaking team, assist in evaluating potential research grantee projects, and help to source new opportunities
  • Help evaluate and monitor research grantees

Qualifications

  • Ideal candidates would have or expect to soon complete a PhD level course of study conducting research in a relevant field (see above); though we would also consider candidates with a masters degree or equivalent experience if research interests are aligned with one or more of our interest areas, in particular Workforce and Infrastructure.
  • Intellectual curiosity and a willingness to explore adjacent fields of study
  • Excellent written and verbal communication skills; ability to translate technical and complex research to more understandable forms
  • Strong interpersonal and collaboration skills
  • Strong organizational, project management, and problem-solving skills
  • Additional experience in an organization that conducts or disseminates research is a plus.
